How do I import from Google Sheets?

You can import applications from a Google Sheet by pasting its link.

Kattia reads the sheet in the same way as a CSV file.

What you need

  • A Google Sheet with a company and a role on each row you want to import.

  • Link sharing set to Anyone with the link with the Viewer role. Kattia can't read a private sheet.

  • Optional columns: status, source, notes and a link to the job posting.

Prepare your sheet

  1. Open your Google Sheet and select Share.

  2. Under General access, choose Anyone with the link.

  3. Set the role to Viewer.

  4. Copy the link.

Import the sheet

  1. Select + Add application at the top of the page. On a phone, select the + button.

  2. In the New application window, paste the link into the box on its own. Kattia shows "Google Sheet detected".

  3. Select Add application.

  4. Kattia asks you to confirm. Select Import.

If your link points to a particular tab (the link contains gid=), Kattia imports that tab. Otherwise it imports the first tab.

When the import adds more than one application, Kattia lists them in an Applications added window, where you can change each stage. Select Done to close it.

What gets imported

Kattia maps your columns in the same way as for a CSV file: company, role, status, source, notes and the job link. See How do I import a CSV or Excel file? for the details, the limits and how duplicates are handled. In short:

  • There is no fixed number of rows per import.

  • Rows whose status matches a stage go to that stage. Rows without a status, or with a status Kattia doesn't recognise, go to Applied. An unrecognised status is kept in the notes.

  • Rows that match the company and role of an application you already have are skipped. Rows repeated within the sheet are both imported, so remove repeats first.

  • Today every account has Growth, which has no limit on how many applications you hold.

Privacy

Anyone with the link can view your sheet while link sharing is on. Before you import, you can:

  • Copy the data into a new sheet and share only that sheet.

  • Remove sensitive columns.

  • Turn link sharing off when the import finishes.

If the import fails

  • If the message says "This sheet is private", set sharing to Anyone with the link and try again.

  • If the message says "Could not fetch the Google Sheet", check the link and the sharing settings.

  • If the message says "Could not reach Google Sheets", check the link and try again.

  • If the message says "The sheet appears to be empty", check that the tab you linked has data.

  • If the message says "Couldn't find Company and Role columns in this sheet", check that the sheet has a header row that names those columns.

  • If the message says "No applications were found in this sheet", check that the rows have a company and a role. If Kattia also shows a message that starts "Found", those rows are already in your pipeline.

  • Download the sheet as a CSV and use CSV import instead.
