What should I check when an import fails?

Most import failures have a clear cause.

Work through these checks before you contact support. You import from the New application window: select + Add application at the top of the page, or the + button on a phone.

What the window accepts

  • A pasted job description.

  • Rows pasted from a spreadsheet.

  • A Google Sheets link.

  • A job link.

  • PDF, CSV and Excel files. Drop them on the window or choose them from your device.

If an import fails, the window shows an error, with a Try again button where a retry can help. For a single link or a pasted description, it also offers Add it yourself instead, which opens a form where you type the company, role and stage.

Checklist

1. File type and size

  • Files can be up to 12 MB each. A bigger file shows a message such as "jobs.csv" is too large (max 12 MB).

  • The window accepts PDF, CSV and Excel files. Anything else shows a message such as "jobs.numbers" is not a supported file type (PDF, CSV, or Excel).

  • For Excel, Kattia reads .xlsx and .xlsm workbooks, and only the first sheet. Move your data to the first sheet, or save the sheet as a CSV file. Save an older .xls file as .xlsx or CSV first. If Kattia can't open a workbook, you see a message such as Could not read "jobs.xlsx".

  • A PDF needs readable text. A scanned image of a page has none, and you see "Couldn't find any text in this file. Try another file, or paste the job text instead." Paste the job text instead.

2. Company and role

Kattia maps your columns for you, so the headers don't have to match exactly. Each row needs a company and a role. Rows without both are skipped. If nothing is imported from pasted rows, the window says "Nothing was imported. Check the column headers and try again." The same message appears when every row is already in your pipeline, so check for a message that starts "Found" too.

3. Spreadsheet size

Each file can be up to 12 MB. The New application window has no fixed number of rows. The import during onboarding takes up to 40 rows and imports none of them if the file has more, so use + Add application for a longer list.

4. Google Sheets sharing

Set the sheet to Anyone with the link can view. If the sheet is private, Kattia says "This sheet is private. Set sharing to 'Anyone with the link can view' in Google Sheets, then try again." If your link points to one tab, Kattia imports that tab. A sheet with no data shows "The sheet appears to be empty."

5. Links in your spreadsheet

Kattia can read job links in spreadsheet rows. A single import reads up to 3 links on Free and 15 on Growth, and up to 10 in a rolling 24 hours on Free and 30 on Growth. Today every account has Growth. Kattia can't read pages that need a sign-in or that block automated readers. In every case, the row is still imported, without the extra details from the page.

6. Duplicates

Kattia skips rows with the same company and role as an application you already have. It tells you with a message that starts "Found" and the number of duplicates. Read How does Kattia handle duplicate applications?.

7. Files stop at the first problem

When you import several files, Kattia reads them one at a time and stops at the first file that fails. Files before it are already imported. Remove or fix the file that failed, then import the rest.

8. Your connection

"Couldn't reach Kattia. Check your connection and try again." means the request didn't arrive. Check your connection, then select Try again. If the problem continues, refresh the page, try another browser or try a private window to rule out extensions.

If nothing works

  1. Try a small test file with 5 to 10 rows.
