Connecting your email is a Growth feature, and every Kattia account includes it today. You manage the connection in Settings › Connected inbox.
Kattia connects to your email and calendar through your Google account. If you use Outlook or another email service, add roles from their job links or import a file.
What Kattia does with your email
After you connect and sync, Kattia can:
Suggest roles it finds in your inbox that are not in your pipeline yet.
Add the roles it is sure about to your pipeline and label them "Added from email". You can turn this off.
Detect updates in your emails, such as interview invitations, and show them as pipeline activity.
Let you search your inbox from inside Kattia.
Kattia only asks for read-only access, so it cannot send, delete or change your messages or calendar events.
Connect your email
Open the account menu and select Settings, then select Connected inbox. On a phone, open More, then Settings.
Under Google, select Connect Google.
Kattia shows a short notice titled Connect your email. It explains that Google will show a warning screen and what to choose there. Select Continue to Google.
Sign in with Google. On the warning screen, choose Advanced, then Go to Kattia.
Approve the read-only access that Kattia asks for.
Kattia brings you back to the page you started from. A message confirms "Google connected. Sync your inbox to find applications."
Select Sync now to run your first sync. Connecting does not start a sync on its own.
When the connection works, Settings › Connected inbox shows "Google connected." and "Gmail and Calendar are linked."
You can also select Connect Google on the Inbox sync page. If you would rather not connect your email now, select Add a job link instead on the notice to add a role from its job posting link.
Kattia asks for read-only access to your email and your calendar events. Nothing else. For the exact permissions, see What Kattia can access in your email and calendar.
What a sync reads
Kattia does not sync in the background. You start each sync yourself with Sync now.
Each sync reads up to 80 job-related emails from the last 30 days, plus your calendar. Kattia does not read your whole inbox during a sync. It skips mail in the Promotions tab and job-alert digests from sites such as LinkedIn, Indeed and Glassdoor.
When you use Search your inbox on the Inbox sync page, Kattia searches your whole inbox. You can use search operators such as from:, subject:, newer_than:7d and has:attachment.
Work with what Kattia finds
Select Inbox sync at the bottom of the sidebar. On a phone, select the inbox button in the header. The page has these sections:
New opportunities found. Roles in your inbox that are not tracked yet. Select Add to pipeline to add one, or Skip to dismiss it.
Pipeline activity. Updates detected from your email. While Stage changes: Ask me first is on, you choose whether to apply each one, for example with Apply to tracker or Move.
Synced emails. The emails Kattia has synced. You can link one to an application with Link to application….
Roles Kattia adds on its own show the label "Added from email". If one is not a real application, open the card's stage menu and select Not an application, or open the application and choose Not an application from More actions at the foot of its details. Then select Remove. Kattia removes it from your board and does not add it from email again.
Choose how much Kattia does on its own
The first time a sync adds roles to your pipeline, Kattia asks once whether to keep doing that. Select Keep adding or Ask me first. You can change this at any time in Settings › Connected inbox, under Inbox automation. Each switch saves as soon as you change it.
Add applications Kattia finds. When on, roles Kattia is sure about go straight to your pipeline and show "Added from email". When off, they wait as suggestions in Inbox sync. This is on until you change it.
Stage changes: Ask me first. When on, Kattia asks before it changes an application's stage, interviews or notes. When off, matched emails can update them automatically. This is on until you change it.
Reconnect
If Google stops accepting Kattia's saved connection, Settings › Connected inbox shows Reconnect Google and the message "Your Google connection needs re-authorisation." Select Reconnect Google and approve the access again. Your synced emails and settings stay in place.
Disconnect
Open Settings › Connected inbox.
Select Disconnect….
Review what happens, then select Disconnect Google.
Disconnecting removes Kattia's access to your Google account.
Deleted: synced emails, inbox suggestions, email events and calendar events.
Kept: your applications, the notes you wrote, and any notes the sync already added to your applications.
If Google does not confirm that Kattia's access was removed, Kattia shows a link to your Google Account permissions page. Open it and remove Kattia there.
To connect again later, select Connect Google. Kattia starts with no synced emails, so run Sync now again.
If the connection fails
Select Connect Google again. A temporary Google error can clear on a second try.
Check that you signed in with the Google account whose inbox you want to use.
If Settings › Connected inbox shows Reconnect Google, select it. The connection needs authorising again.
