How do I set a follow-up date on an application?

A follow-up date is a day you plan to check in on an application.

It shows on the card, on the Calendar and in your reminders.

Dates Kattia suggests

When you add an application, by hand or by import, Kattia suggests a follow-up date for you:

  • two weeks after the date you applied

  • four days after for a referral

  • the day after a decision date, if the posting names one and that day is later

You can change or clear the date at any time.

Set or change a date

You have two ways to set a date.

On the card:

  1. Select + Set follow-up on the card, or select the date shown on it. With a mouse or trackpad, + Set follow-up appears when you point at the card. Once a card has a date, the date always shows.

  2. Choose Follow up in 2 days or Follow up in 1 week, or pick a day under Calendar.

When a card already has a date, the same menu offers Mark done, Snooze 3 days and Snooze 1 week. Mark done clears the date.

In the application:

  1. Open the application.

  2. On the Overview tab, pick a date in Follow-up date.

  3. Select Save.

Each change you make from the card adds a short line to the application's notes, so you have a record of what you did.

Where follow-up dates appear

  • On the card: a label such as "Due today", "In 2 days" or "1d overdue".

  • In the pipeline header: the overdue and due today figures. Select one to show only those cards. The Filter menu on a desktop screen can show Overdue or Due this week.

  • On the Calendar: as Follow-up events. Applications in Unsuccessful or Ghosted do not show follow-ups.

  • By email: Kattia emails you when an application is due a follow-up. Open Settings, then Notifications, to turn Follow-up reminders on or off.

Moving a card to Unsuccessful or Ghosted on the board or in the list clears its follow-up date. The message says "Follow-up cancelled", and Undo puts the date back. Changing the stage in the open application keeps the date, so clear it there if you no longer need it.

Stalled applications

An application is stalled when it has been in Applied for 10 days or more with no activity and no upcoming interview. Selecting Mark done on its follow-up restarts that count. Use Filter, then Stalled, on a desktop screen to see them. A stalled application is a good moment to follow up, or to move the card to Ghosted if you have stopped chasing.

When to set a date

  • After applying: keep the suggested date, or pick one that fits the posting.

  • After an interview: pick the day the interviewer gave you. If they gave none, choose a day about a week out.

  • After a status check: if they said they will know by Friday, set the following Monday.

  • When an application stalls: set a date to decide whether to follow up or move to Ghosted.

Set dates you will act on. Weekly or two-weekly check-ins work better than daily ones.
